More information on what is an Open-space meeting :

What?

It is an Agile facilitation format where participants present a discussion point that is significant to them and take responsibility for facilitating that component of the session. The agenda is preferably set by the participants with the power and desire to see it through.

Why?

This virtual-led technique of enabling brainstorming sessions and conversations is ideal when the group comprises participants from diverse backgrounds. It relies greatly on self-organisation of participants. Sessions are left open and participants are encouraged to steer the discussion.

How?

  • The moderator introduces the format of the session to the participants
  • S/he sets the theme or a broad open question (for e.g.-What are the challenges with working /managing teams remotely; How to be adaptive to sudden changes) following which participants are invited to suggest subtopics for discussion
  • Each topic is assigned a duration for discussion (we recommend 10 minutes)
  • At the end of the allotted time, the moderator conducts a poll to ascertain whether to continue the discussion or move onto the next item on the agenda
  • If the owner of the issue feels the dialogue has fulfilled its purpose before the assigned time has lapsed, s/he can signal so
  • It is incumbent upon participants to ensure the dialogue is enriching or change the course of the discussion. Responsibility resides with the individual participant
  • The Moderator may also record the entire proceedings to be able to provide a summary to the participants once the session is concluded

What to prepare?

  • Participants needn’t have prior information on the theme and can initiate discussion on any topic. There are no right or wrong questions; even an inquiring question can initiate the discussion

Duration?

  •  45-90 minutes

Group size?

  • Groups could vary from 10 to 50 people

Outcome?

  • Promotes teamwork
  • Brings together participants from distinct profiles collaborating towards diverse approaches to working and a sense of commitment towards challenges ahead
  • Plausible that no specific decisions or concrete solutions are arrived at. However, a collaborative session sets the ball rolling for action plans and recommendations for future activities/next phase
